The objective of the thesis was to create instructions of crisis communication plan for an exchange-listed company. The reason for this kind of topic came at the request of the commissioner because there is a requirement for crisis communication plan. The commissioner is an international exchange-listed company in Finland who wished to stay anonymous in order to avoid confidential information leaking to competitors. Therefore, the subject topic was designed to suit for the use of all exchange-listed companies who are planning to make a crisis communication plan. This thesis provides the instructions of how to make an effective crisis communication plan and each exchange-listed company can use these instructions as a guideline in order to make their own crisis communication plan in the future.
Theoretical section of the thesis is a desktop research which is based on the literature of crisis communication and the characteristics of exchange-listed companies. In the empirical section of the thesis the instructions were drawn up together with the commissioner to suit for the use of an exchange-listed company. The research methods of the thesis consist of benchmarking and brainstorming. The basic framework of crisis communication plan is benchmarked from other crisis communication plans. The content of the crisis communication plan is conducted by brainstorming with the commissioner. The instructions concentrate on implementation by defining the crisis communication roles and responsibilities. The instructions consist of risks which might result in a crisis, the roles and responsibilities of a person issuing a statement and crisis communication team as well as who is responsible for training the key persons and informing the stakeholders in different channels. It also consists of instructions what need to take into consideration when producing the content of crisis communication such as press- and exchange release, press conference and interviews.
The most effective way to gain the best possible results in crisis communication is defining the roles and responsibilities of each crisis communication team members according to their management levels. The crisis communication team has to be divided into these levels and each level has their own responsibilities in order that the crisis communication would be as effective as possible. To shorten the duration of the crisis, the company needs to communicate effectively with the stakeholders and provide them follow-up information. Therefore, it is important to define the stakeholders of the organization and inform them of the crisis through different communication channels. Because exchange-listed companies are in constant stage of change, the crisis communication plan has to be updated regularly.
